Tutors

The tutors’ role is to foster a sense of community among the residents of the student housing complexes and to serve as points of contact for information, assistance, and guidance.

They can advise students—to the extent that they are called upon to do so in individual cases—on general academic questions and personal matters. They are always appointed by the Studierendenwerk management for one semester, after which their appointment may be extended. The work of the tutors is intended to encourage and promote independent initiative and activity among students living in the student housing complexes.

Guidelines for the Tutoring Program

1. Principles of the Tutoring Program

1.1 The Studierendenwerk Oberfranken is responsible for the tutoring program for student housing facilities operated by the Studierendenwerk at university campuses.

1.2 The work of the tutors is intended to stimulate and encourage independent initiative and activity among students living in the student residence halls. The tutors’ role is to foster a sense of community among the residents and to serve as a point of contact for information, assistance, and guidance. They may advise students—to the extent that they are consulted on a case-by-case basis—on general academic questions and personal matters. Providing academic advice to students is generally not part of the tutors’ responsibilities.

1.3 Tutors should be open-minded and have strong organizational skills. They are appointed by the management of the Studierendenwerk for one semester at a time, with the possibility of renewal. They must be tenants in a Studierendenwerk-owned housing complex, and their lease should have at least two semesters remaining at the time of appointment.

1.4 Tutors must submit their application materials (cover letter and resume) to the Studierendenwerk. Appointments are made in writing by the executive board and may be terminated early by the board for good cause. Taking into account the conditions of the housing facilities, the goal is to appoint one tutor for approximately 100 students, within the limits of available funds.

2. Compensation and Funds at the Tutors’ Disposal

Within the limits of available funds, tutors receive a monthly stipend for a maximum of 11 months per year. This stipend is granted only for the duration of their appointment. Tutors may be provided with discretionary funds to prepare for and conduct dormitory community events that support the fulfillment of their duties.

3. Events

3.1 Events that support the tutor program’s mission include, in particular:

  • General Education Events
  • Sports Events
  • Cultural events (e.g., concerts, as well as trips to the theater and museums)
  • Community-building events (game nights, etc.)

3.2 The sessions should be organized and led by experts. Tutors should strive to adapt the sessions to the rhythm of the semester—that is, to the varying academic workload students typically experience throughout the semester as they pursue their major. Settlement of the discretionary funds takes place at the end of the assignment period. It should be noted that the discretionary funds should be distributed as evenly as possible over the assignment period, depending on need. If several tutors are assigned to a residential complex, they must coordinate the use of the discretionary funds among themselves. If discretionary funds are managed jointly by several tutors, one of the participating tutors must be designated to the Studierendenwerk to oversee the joint spending plan and maintain the record of expenditures. The discretionary funds must be managed economically and prudently and may only be used for purchases that are absolutely necessary for the implementation of the tutoring program. The following, in particular, may be considered necessary expenses: sports equipment, tools for the bicycle storage room, board games, books, photocopies, paper, paint, and other consumables. Alcoholic beverages may not be purchased with the discretionary funds.

3.3 Property Rights
Items purchased with funds allocated for this purpose are the property of the Studierendenwerk. At the end of the term of appointment, they must be handed over to the next student.

4. Procedure

Upon completion of his term of appointment, the tutor must submit a work and activity report to management within two weeks. In addition to a brief description of the program’s content, the report must also specify the number of participants. Furthermore, the accounting for the allocated funds must be clearly itemized, accompanied by the original receipts.
